Job Title: Executive Assistant to the COO – Urgent Hire

MedXpress Connect, a leader in the medical courier industry, is seeking a proactive and detail-oriented Executive Assistant to the COO in Atlanta, GA. This is an urgent hire, and the ideal candidate must be able to begin work immediately. You will play a key role in supporting our Chief Operating Officer in day-to-day operations, helping drive efficiency and ensuring smooth executive function.
Responsibilities:
- Provide direct administrative support to the COO, managing complex calendars, scheduling meetings, and coordinating travel arrangements.
- Prepare detailed reports, presentations, and other documents for executive meetings.
- Act as the first point of contact between the COO and internal/external stakeholders.
- Attend key meetings, take minutes, and follow up on action items.
- Oversee email and phone communications on behalf of the COO, ensuring timely responses.
- Coordinate cross-departmental activities, ensuring seamless communication between teams.
- Assist in managing special projects and strategic initiatives as assigned by the COO.
- Maintain discretion and confidentiality regarding all business matters.
- Conduct research and compile data as requested.
Requirements:
- 3-5 years of experience as an Executive Assistant, with direct experience supporting senior executives (experience supporting a COO is a plus).
- Strong organizational and multitasking skills with exceptional attention to detail.
- Must have a valid driver’s license and reliable transportation (no shared vehicle).
- Bilingual (English/Spanish) preferred, but not required.
- Ability to prioritize tasks, meet deadlines, and thrive in a fast-paced environment.
- High level of professionalism and discretion in handling confidential matters.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Excellent written and verbal communication skills.
- Must be able to begin work immediately.
