The Springfield Pride Parade Organization is seeking a dedicated and detail-oriented Administrative Assistant to join our team for 20 hours per week, Monday through Friday, from 10am to 2pm. This part-time role is essential for ensuring the smooth operation of our organization and advancing our mission.
Responsibilities:
Virtual Office Management:
- Ensure smooth virtual operations.
- Order and manage supplies for the organization and programs.
- Handle mail, emails, and phone calls.
- Schedule virtual meetings, appointments, and travel.
- Prepare agendas, presentations, and materials.
Data Management and Filing:
- Maintain accurate records and databases.
- Organize and file documents, reports, and correspondence.
- Assist with data entry and analysis.
- Ensure confidentiality and security of sensitive information.
Event Support:
- Assist in planning and executing events, including the annual Pride Parade and related activities.
- Provide logistical support such as venue bookings, equipment rentals, and vendor coordination.
- Help with volunteer recruitment, training, and coordination.
- Attend events to provide on-site support as needed.
Communications and Correspondence:
- Draft and edit correspondence, reports, and other documents.
- Respond to inquiries from stakeholders, partners, and the public professionally and promptly.
- Monitor and manage Springfield Pride Parade Organization’s social media channels, website, and other communication platforms.
Financial Administration:
- Assist with basic bookkeeping tasks such as processing invoices, expense reports, and reimbursements.
- Maintain financial records and assist with budget tracking.
- Collaborate with the finance team to ensure financial policies and procedures are followed.
Support to CEO:
- Manage the CEO’s calendar, including scheduling and prioritizing appointments.
- Act as a liaison between the CEO, staff, stakeholders, and external partners.
- Prepare briefing materials, presentations, and reports for the CEO.
- Handle sensitive and confidential information with discretion.
Qualifications:
- High school diploma or equivalent; bachelor's degree preferred.
- Proven experience in administrative support, preferably in a non-profit or event management environment.
- Excellent organizational skills and attention to detail.
- Strong written and verbal communication skills.
- Proficiency in Microsoft Office Suite and relevant software applications.
- Ability to multitask and prioritize effectively in a fast-paced environment.
- Strong interpersonal skills and the ability to work well with diverse teams.
- Commitment to the mission and values of the Springfield Pride Parade Organization.
Hours: Monday - Friday, 10am - 2pm (20 hours per week)
