Position Summary
The Office Manager oversees the daily operations, staffing, and finances of the practice to ensure fundamental systems and protocols are in place and functioning effectively to reach practice goals. This individual is responsible for overseeing the development of the staff, the financial health of the company, as well as community outreach and marketing. The Office Manager will be responsible for implementing and monitoring the standards and systems as set by the practice owner. Other duties include facilities management, goal setting with the practice owner, and assuring the overall patient satisfaction and good will of the practice.
Responsibilities
Management of Personnel Resources: Hire, motivate, develop, and direct the team, including, but not limited to supervising front and clinical staff and developing measurable performance objectives for the team.
Management of Operations: Directing the operation of the practice and its efficient functioning, including, but not limited to:
o Preparing, monitoring, and tracking operational reports and key performance indicators of the company to ensure accuracy, efficiency, and achievement of practice financial goals;
o Analyzing internal processes, monitors competitor’s innovations, and recommends and implements procedural or policy changes to improve operations and control costs.
o Overseeing billing and collection processes.
o Analyzing financial impact of changes in clinical activities and forecasts actual revenue, net income and expenditures versus approved budget.
o Supervising patient recordkeeping and HIPAA compliance.
o Developing and monitoring effectiveness of marketing campaigns
o Overseeing IT systems, uses and effectively monitors usage of practice management and patient record software.
o Overseeing systems for patient retention, follow-ups, and new patient acquisition.
o Ensuring optimal patient care, monitors patient satisfaction and resolves complaints.
o Informing owner of current trends, issues, pertinent issues to facilitate policy making.
Leadership and Professionalism:
o Represent the practice in a professional, pleasant, and cooperative manner.
o Contributes to the development of the practice’s mission and strategic vision.
o Acts as main point of contact for community outreach efforts.
o Must be able to comfortably and efficiently handle multiple deadlines and task assignments for self and subordinates.
o Must be able to work both independently and cooperatively in team settings.

Required Experience:
o Minimum 3 years (5 years preferred) managing a dental practice with proven results. Pay is dependent on experience and demonstrated skill.
o Proficient in dental practice management software.
Job Type: Full-time
Pay: Up to $86,000.00 per year
