**Job Overview:**
As a Dealership Office Assistant , you will be responsible for overseeing the daily operations of the dealership's administrative office. You will work with a team of administrative professionals, ensure accurate and timely processing of financial transactions, maintain office organization, and provide support to the sales, service, and finance departments. Your role is critical in ensuring the smooth and efficient operation of the dealership, providing exceptional customer service, and supporting overall business goals.
**Key Responsibilities:**
- **Office Management:** Oversee administrative functions, including record keeping, filing, and office supply management.
- **Financial Management:** Manage accounts payable and receivable, and reconcile financial statements.
- **Compliance:** Ensure all financial transactions comply with legal requirements, company policies, and industry standards.
- **Customer Service:** Assist customers with inquiries and handle any escalated customer service issues in a professional and efficient manner.
- **Reporting:** Prepare and analyze financial and operational reports for management review.
- **Coordination:** Collaborate with the sales, service, and finance departments to streamline operations and improve workflow.
- **Inventory Management:** Assist with inventory tracking and reconciliation.
- **Administrative Support:** Provide administrative support to the dealership management team as needed.
**Qualifications:**
- Proven experience as an office assist or in a similar administrative role, preferably in a dealership or automotive industry.
- Strong understanding of accounting principles and financial reporting.
- Excellent organizational and multitasking skills.
- Proficiency in office management software (e.g., Microsoft Office, Dealer Management Systems).
- Strong leadership and team management abilities.
- Excellent communication and interpersonal skills.
- Attention to detail and a high level of accuracy.
- Ability to handle confidential and sensitive information with discretion.
