This experienced Executive Assistant will support a principal with multiple company holdings who also serves as a board member on a publicly traded corporation. The fast-paced nature of this role requires that the ideal candidate have exemplary time management skills and the ability to identify and anticipate the principal’s corporate needs. The Executive Assistant must interact seamlessly and with a professional demeanor across a broad range of individuals including members of the senior management team, board members, community leaders, and other professionals. To perform this job successfully, the individual is expected to handle highly sensitive and confidential financial, legal, personnel and institutional information while exercising professionalism and discretion. Responsibilities & Duties:
- This role will coordinate and manage executive scheduling, prepare and organize important legal and strategic materials and plans, and support board meetings and the preparation of board materials.
- Serve as a liaison between the principal, Ashbourne Enterprises staff, and the public. This includes receiving and screening phone calls, emails and visitors, while answering various questions with tact and diplomacy and directing inquiries appropriately for resolution.
- Create and maintain board minutes, books and archive materials.
- Anticipate the Principal’s needs related to his board service and ensure all meetings, events, and appearances run smoothly both virtually and in-person.
- Establish excellent working relationship with the Principal and Members of the Board of Directors, Executive Director and Staff organization, and members/leaders while providing excellent verbal, written, and electronic correspondence. Maintain strict confidentiality in order to meet SEC regulations and compliance laws.
Requirements:
- Proficient in Microsoft Word and Excel, PowerPoint, and virtual meeting platforms. Possess an aptitude for learning new software and systems.
- Excellent verbal communication.
- Exceptional writing, editing, and proofreading skills.
- Tech savvy with all Apple products.
- Able to troubleshoot tech issues arising with laptops, iPads, and iPhones.
- The Executive Assistant must be creative and enjoy working within an entrepreneurial environment.
- Has a strong business sense and can decipher priorities and make sound judgment calls when needed.
- Superior organizational and project management skills: prioritization, time management, attention to detail, follow through, staying informed with organizational initiatives and priorities.
- Bachelor’s Degree in relative field
- Seven or more years of experience in a high-level administrative role reporting directly to upper management. At least 3-5 years of experience working with a Board of Directors and/or board appointed committees.
