Job Title: Executive Assistant to Family Office Cofounders

Compensation: $90k-115k + bonus. Some flexibility is possible.
Work Schedule: 5x a week in-office
Job Overview: We are seeking a highly organized and proactive Executive Assistant. This role will primarily support the 2 Cofounders of our Family Office, ensuring seamless administrative operations. While this is a team lead position, it is designed to provide focused support to senior leaders rather than extensive managerial responsibilities.
Key Responsibilities:
- Executive Support: Provide comprehensive administrative support to Cofounders, including calendar management, travel arrangements, and meeting coordination.
- Team Coordination: Assist in coordinating activities and communications across the corporate credit team, ensuring alignment with overall business objectives.
- Meeting Preparation: Prepare agendas, documents, and presentations for meetings. Take detailed meeting minutes and follow up on action items as needed.
- Travel Management: Arrange and coordinate complex domestic and international travel itineraries, including booking flights, accommodations, and ground transportation.
- Expense Management: Manage and process expense reports for Cofounders, ensuring compliance with company policies.
- Event Planning: Organize team events, offsites, and other corporate functions, ensuring all logistics are handled efficiently.
- Communication Management: Act as a point of contact for internal and external communications, ensuring timely and accurate information flow.
- Ad-hoc Projects: Take on special projects as assigned, demonstrating flexibility and the ability to work independently.
Qualifications:
- Experience:
- Proven experience as an Executive Assistant or in a similar administrative role, within the financial services industry.
- Experience supporting senior executives, including managing complex schedules and sensitive information.
- Skills:
- Exceptional organizational and multitasking abilities.
- Strong attention to detail and accuracy.
- Excellent verbal and written communication skills.
- Proficiency with Microsoft Office Suite (e.g., Excel, PowerPoint, Outlook).
- Ability to work in a fast-paced environment and handle multiple priorities with professionalism and efficiency.
