Rowan Helping Ministries is seeking an organized and proactive Online Personal Assistant to support our team with various administrative tasks and enhance our efficiency. This remote position will involve managing schedules, coordinating communications, and handling administrative duties to ensure smooth operations. The ideal candidate will be detail-oriented, tech-savvy, and capable of working independently while maintaining a high level of professionalism.
Responsibilities:
Schedule Management: Coordinate and manage calendars, schedule appointments, and organize meetings for team members. Ensure timely reminders and follow-ups.
Communication Coordination: Handle email correspondence, draft communications, and manage online communication channels. Respond to inquiries promptly and professionally.
Administrative Support: Assist with preparing reports, creating presentations, and handling documentation. Manage and organize digital files and records.
Project Assistance: Support ongoing projects by tracking progress, setting up tasks, and coordinating with team members. Ensure deadlines are met and provide status updates.
Data Management: Enter, update, and maintain data in various systems and databases. Ensure data accuracy and confidentiality.
Event Planning: Assist in planning and organizing virtual and in-person events, including meetings, workshops, and community outreach activities.
Research: Conduct online research as needed to support various projects and provide summaries of findings.
Technical Support: Troubleshoot basic technical issues related to online tools and software. Provide support to team members as needed.
Requirements:
Education: High school diploma or equivalent required; a degree in business administration, office management, or a related field is a plus.
Experience: Previous experience as a personal assistant, administrative assistant, or similar role preferred.
Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Docs, Sheets, Drive), and familiarity with online communication and project management tools (e.g., Slack, Asana).
Communication Skills: Excellent verbal and written communication skills with the ability to interact professionally with team members and external contacts.
Organizational Skills: Strong organizational abilities with attention to detail and the capability to manage multiple tasks and deadlines efficiently.
