Job Overview:
The National Death Index (NDI) is a centralized database of death record information maintained by the NCHS. It is a critical resource for researchers seeking to obtain mortality data for epidemiological and public health studies. By providing access to accurate and comprehensive mortality data, the NDI supports a wide range of research initiatives to understand and improve public health.
TAG is seeking a detail-oriented and proactive Administrative Assistant to provide comprehensive administrative and operational support to the National Death Index (NDI) program within the National Center for Health Statistics, Division of Vital Statistics (NCHS DVS). This role is critical in transforming raw data into actionable insights that enhance public health outcomes. The ideal candidate will have strong organizational skills, experience in managing office functions, and the ability to handle multiple tasks effectively in a dynamic environment.
Job Responsibilities:
- Provide comprehensive administrative assistance, including managing schedules, coordinating meetings, and preparing correspondence.
- Maintain precise records, including client communications, project documentation, and financial transactions.
- Prepare and submit a written activity report by the 5th of each month, detailing tasks completed, tasks in progress, upcoming tasks, and any risks to task completion.
- Attend meetings of the DVS/ITB Change Management Board, participating in at least six (6) one-hour meetings annually.
- Allocate resources effectively to address priorities defined by the DVS IT Branch Chief and/or the DVS Change Management Team.
- Ensure that all contractor staff adhere to CDC and NCHS confidentiality and IT policies and rules.
- Resolve conflicts between Federal staff and contractor staff promptly, preventing obstacles to task completion.
- Conduct searches against the NDI database, ensuring accuracy and completeness.
- Send search results to clients and notify them when results are available.
- Provide clients with technical assistance in interpreting NDI match results.
- Review all transmittal forms and fee worksheets for accuracy and completeness.
- Inform clients of any modifications needed for their submissions.
- Keep all purchase order search requests organized and submit them to the NDI Director for invoicing.
- Report any issues or concerns with clients to the NDI Director promptly.
- Support financial operations, including processing invoices, monitoring expenses, and contributing to budget management.
- Assist in the preparation and submission of project-related documentation, ensuring compliance with guidelines and deadlines.
Additional Responsibilities:
- Demonstrate a working knowledge of standard office procedures, including managing files and records.
- Apply problem-solving skills to standard procedures and clearly defined problems.
- Utilize strong interpersonal skills to resolve complaints and maintain effective communication with clients and team members.
- Exhibit writing skills to compose and edit reports, proposals, procedures, policies, and recommendations.
Minimum Qualifications:
- High school diploma or equivalent.
- 8 years of administrative and operational support experience in an office environment.
- Proficiency in Microsoft Office Suite (Word, Access, Excel, PowerPoint).
- Strong communication skills, both verbal and written.
- Experience in office management practices and procedures.
Preferred Qualifications:
- Bachelor's degree from a four-year college.
- 5 years of experience managing small to moderate-scale programs and projects.
- Familiarity with CDC and NCHS policies and procedures.
- Experience in public health or government settings.
Requirements:
