We are seeking a highly experienced and professional Executive Personal Assistant to support an Ultra High Net Worth (UHNW) entrepreneur/family. The ideal candidate will be a proactive, detail-oriented individual with a strong background in executive assistance and personal support. You will be responsible for managing a wide range of tasks, from complex scheduling and travel arrangements to personal errands and lifestyle management, ensuring the smooth operation of both professional and personal aspects of the entrepreneur's life. Much of the focus of this role, in addition to personal needs, will be the focus of admin needs for a newly established in the beauty and wellness space (skin care). This couple are true serial entrepreneurs, so calls for someone who is young and ambitious and has great drive to be enmeshed in their business worlds.
Key Responsibilities:
Manage complex calendar scheduling, including coordinating meetings, appointments, and events across multiple time zones.
Handle all travel arrangements, including private and commercial flights, hotel accommodations, ground transportation, and detailed itineraries.
Prepare and manage correspondence, reports, and presentations on behalf of the entrepreneur.
Liaise with business associates, clients, and personal contacts, acting as a gatekeeper and representative.
Oversee daily personal errands, including shopping, personal care appointments, and household needs.
Coordinate with household staff, including housekeepers, chefs, nannies, and security personnel, ensuring seamless operations.
Manage personal projects, such as event planning, philanthropic efforts, and private investments.
Provide support during personal and family events, including travel coordination and event management.
Manage household inventories, including supplies, groceries, and personal items.
Coordinate with service providers for property maintenance, repairs, and upgrades.
Handle sensitive and confidential information with the utmost discretion.
Maintain a high level of privacy and professionalism in all interactions and tasks.
Qualifications:
Bachelor’s degree or equivalent experience in a related field.
Minimum of 5-7 years of experience as an Executive Personal Assistant, preferably supporting UHNW individuals.
Exceptional organizational skills with the ability to multitask and prioritize in a fast-paced environment.
Strong communication skills, both written and verbal.
Proficiency in Microsoft Office Suite, Google Workspace, and other relevant software.
Experience in household management and working with luxury properties.
Ability to travel frequently and work flexible hours, including evenings and weekends.
Valid driver’s license and clean driving record; passport required for international travel.
A high level of integrity, discretion, and trustworthiness.
MUST be able to clear a background check inclusive of credit, criminal and driving.
