The Role:
Reporting directly to the Facilities Services Manager, the Front Office Coordinator plays a crucial role in creating a positive and welcoming environment for visitors. The primary responsibilities include greeting clients, managing incoming calls, and performing basic administrative tasks to ensure the smooth operation of the office.

Essential Duties & Responsibilities:

Greet and welcome visitors with a friendly and professional demeanor; ensure a memorable first impression.

Answer incoming calls, directing callers to the appropriate person or department; provide information about the company as needed.

Manage and organize office supplies, placing orders as necessary.

Maintain cleanliness and organization of common areas; restock restrooms, kitchen, and break areas.

Relay important messages to the relevant team members promptly.

Assist in the coordination of meetings and onboarding new employees.

Makes photocopies; mails, scans, and emails documents; and performs other clerical functions.

Performs other related duties as assigned.
Requirements:
Required Skills and Abilities:

Advanced verbal and written communication, and organizational skills.

Proficient with Microsoft Office Suite or related software.

Engaging and welcoming personality, fostering a positive atmosphere in the workplace.

Previous facilities management and/or ticketing software experience preferred
Education and Experience:
Previous experience in a similar role preferred.
Physical Requirements:

Duties performed in an office environment.

Prolonged periods of sitting at a desk and working on a computer.

Inputs data with repetitive motion (typing).

Must be able to lift up to 10 pounds at times.
