Job Overview:
As a Personal Assistant at Wexford VFC, you will provide high-level administrative support to our executives, ensuring smooth operations and efficient management of their schedules. Your role will involve handling a wide range of tasks, from managing appointments to coordinating projects, all while maintaining the highest level of professionalism and confidentiality.
Key Responsibilities:
Executive Support: Manage and prioritize the executive team’s schedules, including arranging meetings, handling travel arrangements, and coordinating events.
Communication Management: Act as the primary point of contact between executives and internal/external stakeholders. Draft, review, and proofread correspondence, ensuring clear and accurate communication.
Project Coordination: Assist with project management tasks, including tracking progress, preparing reports, and liaising with team members to ensure deadlines are met.
Office Management: Oversee day-to-day office operations, including maintaining office supplies, managing expense reports, and coordinating with vendors.
Research and Analysis: Conduct research and prepare briefing materials, presentations, and reports as required. Analyze data and provide recommendations to support decision-making.
Confidentiality: Handle sensitive information with discretion and maintain the highest level of confidentiality at all times.
Requirements:
Education: Bachelor’s degree in Business Administration, Management, or a related field is preferred.
Experience: Minimum of 3 years of experience as a Personal Assistant or in a similar role, with a proven track record of supporting senior executives.
Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace, and familiarity with project management tools.
Communication Skills: Exceptional written and verbal communication skills, with the ability to interact effectively with individuals at all levels.
Organizational Skills: Strong organizational and multitasking abilities, with a keen attention to detail and the capability to manage competing priorities.
Problem-Solving Skills: Demonstrated problem-solving skills and the ability to think proactively and anticipate needs.
