We are looking for a part time Onboarding Assistant that will assist the Ecosystem Management (EM) team with onboarding, organization, and administrative tasks.
This position involves onboarding new government contractors, ensuring NDAs are signed and submitted, training completed, databases updated, and submitting requirements for background investigations, Common Access Cards (CAC), and systems access.
In addition to onboarding tasks, this role will perform administrative tasks, organizing, collecting, and filing weekly and monthly reports.
To perform this job successfully, the individual is expected to handle highly sensitive and confidential information while exercising professionalism and discretion.
This role will work closely with stakeholders from government contractors.
JOB RESPONSIBILITIES:
Employee Onboarding:
- Manages the onboarding and offboarding process for all personnel and work closely with hiring managers to ensure appropriate system access requests are submitted
- Develops and maintains onboarding materials and SOPs for onboarding processes
- Assist in the orientation and training of new employees, ensuring a smooth transition into the organization by providing necessary resources and guidance on company policies and procedures
- Guide new hires through the public trust background investigation process, ensuring all required documentation is completed accurately and submitted in a timely manner
- Coordinate the process for obtaining Common Access Cards (CAC), including scheduling appointments, verifying eligibility, and assisting with the completion of required forms
- Serve as a point of contact for new personnel during their onboarding journey, addressing any questions or concerns related to procedures, background checks, and CAC card issuance
Administrative duties:
- Receive, review, and file timesheets to be processed by the EM team
- Perform tracking of HIPPA and Cyber training requirements, log CAC and vendor access updates
- Receive input from team to perform regular updates of SOPs
- Track, organize, and file onboarding documents
- Track workforce training expiration dates and send out monthly reminders

BASIC JOB REQUIREMENTS:
- U.S. Citizenship required
- Two to four years' experience in supporting an administrative team in a fast-paced environment
- Alteryx familiarity preferred, but not required
- DHA/Government experience with background investigations, CAC processes, and procedures r equired
- Intermediate skill level in Excel (Xlookup, index match, filters, etc.) required
- BambooHR familiarity preferred, but not required
- Fieldglass familiarity preferred, but not required
- Ektropy/PMAT familiarity preferred, but not required
