Responsibilities
Calendar Management: Coordinate and manage executives' calendars, scheduling meetings, appointments, and travel arrangements with precision and efficiency.
Communication: Act as the primary point of contact between executives and internal/external stakeholders, handling correspondence and responding to inquiries promptly.
Meeting Coordination: Organize and prepare materials for meetings, including agendas, presentations, and reports. Facilitate virtual meetings and take detailed minutes.
Travel Arrangements: Book and coordinate travel arrangements, including flights, accommodations, and transportation, ensuring smooth and cost-effective travel experiences.
Administrative Support: Handle a variety of administrative tasks such as preparing documents, processing expense reports, and maintaining confidential files.
Project Assistance: Support executive projects by conducting research, managing project timelines, and tracking deliverables.
Task Management: Prioritize and manage executive tasks and follow-ups, ensuring deadlines are met and tasks are completed efficiently.
Process Improvement: Identify opportunities to streamline administrative processes and implement best practices to enhance productivity.
Requirements
Education: High School Diploma or equivalent; Associate’s Degree or Bachelor’s Degree in Business Administration, Communications, or a related field is preferred.
Experience: Minimum of 3-5 years of experience as an executive assistant or in a similar high-level administrative role.
Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and experience with virtual collaboration tools (e.g., Zoom, Slack, Microsoft Teams).
Communication Skills: Excellent verbal and written communication skills, with the ability to interact professionally with executives, clients, and team members.
Organizational Skills: Strong organizational and time-management skills with the ability to handle multiple tasks and prioritize effectively.
Confidentiality: Ability to handle sensitive and confidential information with discretion.
