A.M Botte Mechanical, LLC, a local HVAC and Plumbing company serving the tri-state area founded in 2003, looking for a full-time office employee to add to our team. Preferably someone with experience in trades such as HVAC, electrical, construction or plumbing. Duties include:
- Phones- Answer calls, help book calls, & assist customers daily. Also assisting service coordinator in scheduling.
- Initiate and maintain communication with the customers. Timely customer follow-up, and ongoing support for the customers. Must maintain client relationships and meet customer expectations.
- Estimates/change orders, create projects, and book jobs as needed in Service Titan.
- See installs/projects through the install life-cycle – Manage electronic/paper project folders and make sure their current. Upload pertinent information such as contracts, permits, plans, specs, and other files to the job/projects. Check documents for accuracy.
- Work with the customers to get the project contract signed, payment collected, pre-install layout appointments scheduled, and maintain the relationship through the end of the installation. A positive relationship with the customer is key in this industry. Respond to customers' concerns quickly and in a professional manner.
- Manage permits- Fill out required permits as per job scope with additional help from the project manager. Schedule inspections as needed.
- Complete the financing process in their portals and assist customers with any applications. Request payment upon project completion.
- Maintain awareness of the status of a project and proactively communicate to customers, sales reps, and project managers.
- Communicate with customers in all areas of approvals, scheduling, delays, and completion.
- Weekly/monthly meetings with project managers for scheduling and billings.
- Track the status of the project documents daily: contracts, financing, permits, inspections, rebates, and other misc. items.
- Assemble close-out documents after projects are completed. Follow the close-out process & send all final billings and documents to customers.
- Complete invoicing for all projects and submit AIA payment applications as needed. Batch, post, and export all invoices for your projects/jobs.
Requirements:
-Monday through Friday 7:30am 4:30 (flexible)
-Must have Diploma/GED
-Must have at least 3 years HVAC/construction-related industry experience. Knowledge of HVAC/Plumbing and permits are strongly preferred.
-Must have/demonstrate thorough administrative abilities, and have worked in an office setting for at least 5 years. Proficient in Microsoft word, excel and outlook.
-Service Titan experience/knowledge is a plus.
-Must be professional, able to set priorities, follow workflow, and complete requests in a fast-paced environment. Must be highly adaptable to new processes.
-Highly motivated, multi-tasking capabilities while performing daily tasks. Organization is needed for this position, and must have good project management skills.
-Candidate should be self-motivated but also can work in a collaborative team environment when needed.
-Candidate needs problem-solving skills and have a sense of urgency for areas of significant impact.
-Must have strong written and verbal communication skills. Must be able to communicate with customers and other departments quickly and efficiently.
