Role Definition:
Human Resources Associate will provide assistance to both the Human Resources Director and the Human Resources Generalist with specific duties and projects that are of a sensitive and confidential level.
Reporting Relationship:
Reports directly to the Human Resources Director.
Principle Responsibilities:
I. Recruitment
Will be responsible for initiating and participating in Job fairs; considerable driving may be involved.
Ongoing visits to local high schools, colleges and food and hospitality schools in the Chicagoland area, to remain on top of hiring needs and trends.
Responsible for set-up of recruitment booth, preparation and distribution of recruitment material.
Confidence to communicate information about the Garlands in a professional and positive manner.
Responsible for managing the Garlands Human Resources Profile on the internets professional networking sites, recruiting sites, social media sites and responsible for maintaining The Garlands of Barrington Human Resources Face Book Site.
Respond timely and professionally to comments posted on websites that we engage with to ensure a positive and professional demeanor in our responses to posts by individuals related to their experience with or at The Garlands of Barrington.
Monitor Company website to identify and source candidates.
Develops and maintains professional relationships with college, university and community college placement offices as a source to generate qualified applicants.
II. Administrative
Front desk, first line of contact for Human Resources.
Assists with phone screenings and schedules interviews for qualified candidates.
Coordinates face to face interviews.
Responsible for first step of new hire onboarding process.
Tours candidates and new hires through campus and assigns lockers.
Coordinates and oversees Garlands Experience and presenting HR topic when appropriate.
Assists with TM Celebrations, acting as MC when needed.
Assists with record keeping for in-service training programs and required licensure and certification.
Ensures confidentiality of employee records and HIPAA confidentiality.
Responsible for the creating and ongoing maintenance of employee files by making sure all information is filed in employee files in a timely fashion.
Customer Service & Communication Skills:
Demonstrates excellent listening and communication skills concisely and professionally in oral and written form.
Able to effectively articulate details of the open positions and to provide overview of benefits offered at the Garlands for FT employees
Responds to Team Members questions when appropriate and delivers unresolved issues to HR Director for research and resolution.
Treats all Team Members with dignity and respect and establishes a trusting relationship with them, while maintaining required confidentiality.
Demonstrates knowledge of The Garlands entire facility and directs Team Members appropriately, according to their needs.
Assists with communication to the Team Members through bulletin boards, mailings, and newsletters.
Performs a variety of other duties as required by the Human Resources Department.
Qualifications:
Bachelors Degree preferred, but not required.
Experience in Human Resources preferred.
Exposure to Human Resources legal requirements and compliance.
Experience working with highly confidential and sensitive information.
Skills:
Ability to effectively conduct research and create reports.
Effective and concise administrative writing skills.
Must be flexible, highly customer service and people oriented individual who demonstrates compassion, patience and understanding and is willing to do whatever it takes to provide the highest level of service.
Must be a team-oriented individual who enjoys working collaboratively with others, creating a positive and uplifting environment, and communicating effectively at all levels.
Must have highly developed organizational skills and the ability to handle a wide variety of responsibilities simultaneously and constantly changing priorities.
Proficient computer skills in Word, Excel and PowerPoint, along with the ability to learn and apply new software.
Physical Requirements:
Must be able to lift up to 30 lbs.
Must be able to stand, stoop and walk throughout the campus.
Must be able to lift and carry boxes and other containers
Must be able to drive to local and city colleges and school locations.
Must be able to manage employee files in various filing locations.
